Booking Handover Before Holidays: A Practical Template

Prepare a shipment handover with named contacts, document deadlines, cargo readiness and a clear process for schedule changes before a holiday.

A booking confirmation may be in your inbox while essential work is still unfinished: the factory has not confirmed collection, shipping instructions need corrections, or nobody is assigned to respond to a schedule change. Before your partners leave for a holiday, gather these open items into one handover with named owners and deadlines.

This is a coordination template for shipments from China to Vietnam. Use the latest booking and the transport provider's confirmation for actual times.

1. Keep the latest booking version

Record the booking number, confirmation date, origin and destination ports, vessel/voyage and the sender's contact. When an amendment arrives, identify which version it replaces and circulate it to the people carrying out the work.

Maersk provides booking confirmations in the shipment's Documents section. Other carriers and forwarders may use different channels. Maersk booking confirmation guide.

2. Record separate deadlines

Avoid a single entry labelled “cut-off”. List cargo delivery or gate-in, shipping instructions and VGM where applicable, with a time zone and recipient for each. Maersk's schedule search displays these as separate milestones. Check vessel cut-off times.

Agree internal completion times with the people doing the work. Do not apply one fixed buffer to every port or cargo type. If two notices conflict, ask the transport contact to confirm the effective deadline in writing.

3. Assign each task to one contact

The table is a coordination aid, not a universal list of shipment procedures.

DocumentsCompleted versions and outstanding correctionsDocumentation contact

Add a status, update time and document link to each line. Clearly separate confirmed details from outstanding requests so the next person can see what needs attention.

4. Agree how changes will be handled

Identify who receives schedule notices and who approves an alternative before the holiday starts. For a change of sailing, port or transport mode, request the revised expected timeline, work that must be repeated and charges that need approval.

Do not assume a booking makes every amendment free or guarantees the estimated departure date. Check the conditions of the actual service purchased.

5. Copyable handover message

Please confirm shipment [reference/booking number] as of [date, time and time zone]:

  • When and where will the cargo be ready, and who handles handover?
  • Which booking version is current? Are the vessel/voyage and ports confirmed?
  • What are the cargo, SI and VGM deadlines where applicable, and who receives each submission?
  • What information or documents remain outstanding, who owns them and when are they due?
  • Who is on duty during the holiday, and who approves revised arrangements and costs?

Please distinguish confirmed items from pending items and attach the latest booking.
