ETA Changes: When Can You Confirm a Warehouse Delivery Date?

An ETA is an estimated arrival milestone. Check destination release, documents, trucking and warehouse readiness before confirming delivery.

A tracking update shows a new ETA while production is waiting for an inbound delivery date. Can that date be used immediately to book a truck and promise warehouse delivery?

An ETA is an estimated arrival time at a stated point in the journey. Confirm destination conditions and execution arrangements before promising warehouse delivery.

Identify what the ETA refers to

Before sharing the date, record whether it is for a transhipment port or the final port, the vessel and voyage, and the update time. Maersk explains that its tracking tool can show estimated arrival times at transport milestones. Share the location and status, not a date alone.

A useful internal note is: “Destination-port ETA from the update at [time/date]; pickup and warehouse delivery remain subject to confirmation.”

Convert the ETA into a destination checklist

WorkstreamWhat to confirmInformation owner
Container statusActual arrival, discharge and availabilityCarrier or terminal contact via the appointed provider
Documents and releaseMissing items, owner and completion timeDocumentation/import team
Import formalitiesCurrent status and pending actionCustoms representative
Truck and warehouseFeasible pickup, receiving slot and unloading conditionsTransport and warehouse teams
Empty returnReturn location, opening time and applicable deadlineCarrier/transport provider

If a line is pending, label it as pending in the delivery plan. Do not add a fixed number of days to every ETA.

Check free-time information separately

When arrival timing changes, reconfirm container free-time dates and return arrangements. Maersk's demurrage and detention guidance shows one carrier's online data fields, including free days, last free date and pickup/return locations. Your shipment must be checked under the actual carrier and terms.

Use three internal statuses

  • Estimated: ETA is available; destination conditions remain under review.
  • Receiving plan agreed: responsible parties, truck and warehouse slot are confirmed; changes are still monitored.
  • Completed: actual pickup or warehouse-delivery time is recorded with evidence.

These are SeaAir coordination labels, not universal carrier statuses.

Please confirm shipment [B/L or container]: which point does the latest ETA refer to and when was it updated? Is the container available for release? Which document or import action is pending, and who owns it? What is the last free date and empty-return location? For warehouse slot [date/time], what pickup and delivery plan can be confirmed? Please identify pending items and the next response time.

For destination coordination, send SeaAir Global the shipment details, including the discharge port, delivery address, container/cargo type, current status and warehouse receiving window.
