Original Bills of Lading, surrender/telex release and Sea Waybills are considered when parties decide how transport documents will be issued and how destination delivery will be arranged. The choice should not be based only on which option sounds faster.
The appropriate method depends on the sales contract, payment method, trust between the parties and the actual carrier's shipment process.
Quick comparison
| Method | General operation | Checks to make |
|---|---|---|
| Original B/L | Originals are issued and delivery is generally tied to handling/presentation under the applicable process | Courier time, bank requirements, number of originals and loss risk |
| Surrender/Telex Release | Originals are surrendered under the origin process and the carrier/agent sends release instructions to destination | Completed surrender, correct B/L and recipient, charges and deadlines |
| Sea Waybill | A non-negotiable transport document naming the consignee | Consignee data, payment arrangement and acceptance by all relevant parties |
“Telex Release” is a common operational term, but screens, status names and evidence vary by carrier. Transport forms and terms also vary; the BIMCO contract library illustrates that maritime documents use distinct forms and conditions. Check the actual booking and carrier.
Three questions before choosing
1. What do payment and document-control terms require?
If a bank or documentary control is involved, finance and the bank should confirm the document type, wording and presentation timing. Do not switch to a Sea Waybill or electronic release merely to save courier time.
2. Is the commercial relationship ready for the method?
A Sea Waybill or electronic release may remove paper transit time, but delivery to the named consignee must fit the parties' trust and commercial arrangement. Any change should be approved in writing by an authorised party.
3. What is the carrier's actual process?
Confirm who may request the change, required documents, fees, payment status, processing deadline and how destination receives the release. A carrier FAQ centre is one place to find current instructions; follow the carrier handling the shipment.
Checklist before issuance or a method change
- Which document type is permitted by the sales contract and payment terms?
- Does the bank require an Original B/L or specific wording?
- Have the shipper, consignee and notify party been confirmed in writing?
- Is the draft approved and is party data correct?
- For surrender, have originals and the release status been formally confirmed?
- What PIN, D/O, payment or additional file is required at destination?
- Who pays the charges and follows the process until destination confirms pickup readiness?
Do not treat a screenshot saying “telex done” as the only evidence. Obtain an official status tied to the correct B/L and destination confirmation before planning pickup.
