When suppliers and transport providers resume cargo handover after a break, the first question is often: “Has my shipment moved?” A useful answer requires more than a general reopening date. Confirm where each shipment is, what has been completed and who owns the next action.

For China–Vietnam shipments in early October, factory reopening, warehouse receiving and truck pickup may happen on different dates. Check each order with the responsible party.

Start with the cargo's confirmed location

Separate the shipment list by status:

  • Still with the supplier: confirm packing completion, package count and the earliest handover time.
  • Received at a consolidation warehouse: obtain the receipt, reconcile quantities and list any outstanding requirement.
  • Gated into the port: confirm the actual milestone and loading status through the transport contact; keep estimated dates separate.
  • In transit: record the current leg, any transhipment point and the latest estimated arrival milestone.

Maersk's shipment tracking tool is one example of a platform showing transport milestones and estimated arrival times. For another carrier, use its official channel or the data supplied by the appointed forwarder. Always record when the status was checked.

This is a SeaAir workflow example, not live shipment data. Attach the supporting confirmation and clearly mark pending information.

Prioritise by required delivery date and actionable work

Do not automatically process orders by purchase date. Record the required warehouse-delivery date, why it matters and the flexibility accepted by purchasing or production. Then ask which option is feasible from the shipment's current status.

If splitting urgent cargo or changing transport mode is being considered, obtain a revised quotation and scope before approval. A shorter main transport leg does not by itself guarantee the required warehouse-delivery date.

End every update with an action

“We are checking” is not enough. Ask who is checking, what is missing and when the next response is due.

Please update shipment [reference] as of [date, time and time zone]: where is the cargo, which milestone is complete and what confirmation is available? What remains pending, who owns it and when is the next update? Our Vietnam warehouse needs the cargo by [date]. If the current plan cannot meet this requirement, please provide an alternative with cost and conditions for approval.

If you used the holiday booking handover template, continue updating the same record. To review options with SeaAir Global, send the shipment details, including collection and delivery points, cargo data, current status and required warehouse date.
