A complete booking request helps your forwarder confirm the right routing, equipment and charges from the very first quote.
1. Origin and destination
State the pickup address, port/airport of loading, port/airport of discharge, and the final delivery address if you need a door-to-door service.
2. Cargo description and expected HS code
Describe the material, function and condition of the goods. State whether the cargo is classified as dangerous, contains lithium batteries, is food-related, or requires specialized inspection.
3. Package count and packing type
Provide the number of cartons, pallets, wooden crates, drums or other packing units.
4. Dimensions and weight
Send the dimensions of each package type, total gross/net weight and total CBM. For machinery, state clearly if any package is over-dimensional or cannot be stacked.
5. Cargo-ready date
The cargo-ready date lets the forwarder check sailing schedules, cut-offs and the right transport option.
6. Incoterms
EXW, FOB, CIF, DAP or other terms determine the scope of cost and responsibility for each party.
7. Special requirements
State any requirements for temperature control, fumigation, insurance, documentation, delivery deadlines or customs clearance support.
Providing all seven groups of information reduces back-and-forth communication and lowers the risk of a quote that is missing local charges or based on the wrong service type.
